We will add an option of a $20 payment towards the playground donations. Financial report will be available before January 31st 2026.

Liens- checking in with Lawyer to see if he can assist with the process of putting liens on non-payment houses.

Southwood Wall- After the survey in 2025 was complete it shows that the wall is on the homeowners property line. The board voted to keep paying for insurance for the wall for major incidents (i.e accidents) but cosmetic maintenance will be on the homeowners. This decision was made because most of the damage is due to homeowners not removing trees that are against the wall. The other option would be to raise dues for everyone to maintain wall or to raise dues for just those along the wall to a higher price.

Events:

Cookies with Santa- Curtis will be Santa and Luke will be the elf

Easter Egg Hunt/Movie night- April 3rd

Garage Sales- May 29th- May 30th Karissa will contact goodwill to see if we can get them to come.

Clubhouse:

Board agreed to get rid of several couches that are falling apart in the clubhouse. There are a couple of things to take into consideration.
1. Insurance checks for the wall have made some of the credits look higher than others but collections from dues are a huge part
2. Due to the number of complaints we received last summer, we had to switch lawn services and now pay more than double what we have been the last two years. We got several quotes and went with the option that was cheapest for both mowing and fertilizer.
3. You may look at the dues chart and think that 39% is still a lot of outstanding dues and we agree! In the last 3 months the $200 section has been cut in half. We are currently getting ready to send out second notices to those who still owe. The Title Company will always email us at the sale of someone’s home to see if they are caught up on dues. If they are not, they will collect them on our behalf at no cost to us.
4. Why did we repaint the clubhouse? The clubhouse is one of the biggest incomes for Southwood and repainting it and getting it fixed up will allow us to discuss raising the rent price to those OUTSIDE of the HOA. Don't worry we have no plans on raising the rent to members in the HOA again.
5. Why is our insurance so much? Why has our insurance gone up? Check out that beautiful brick wall that surrounds Southwood :)
6. The amount for the basketball court is currently the deposit to start the process. The total will change once the project is finished. The remaining balance (pending no issues) is $7,779.20 giving us a grand total of $9,724.00.

Santa is Sunday, board meeting minutes are posted!

Make sure you RSVP to the Southwood email address (snalincoln@gmail.com) before Friday so we know how many people to anticipate!

Make sure you RSVP to the Southwood email address (snalincoln@gmail.com) before Friday so we know how many people to anticipate!

March 2022 Meeting Minutes

March 2022

March 2022

There was an incident at the clubhouse this weekend that involve the police and it isn't the first time even this year that it's happened so we are implementing this rule.

We are also going to be getting a second security camera (we have one pointing at the playground right now) to monitor the parking lot, so spread the word (we will also be putting up signs saying the property is under video surveilance).

My sincere apologies to the residents who live near the clubhouse and had to deal with the idiocy this weekend, we will take what steps are needed to ensure this doesn't happen again.

Parked car thefts are rising

The board meeting was last night and several people brought up the fact that there is a definite up-tick in car thefts. There is no secret but I hope to clarify what happened so there is no confusion about what is going on.

One of the previous boards decided to use HOA money to buy a laptop and Quickbooks Desktop maybe 10 years ago (I’d have to find the meeting minutes to be sure). That seemed to work well for them at the time anyway, but it has been mentioned before that there were no practices put in place to ensure the information wouldn’t be lost. The board has changed a few times since that happened, including in February 2021 when myself and most of the rest of the board positions were elected.

When we got to work in February we quickly discovered that the laptop in question would no longer power on and in fact was broken. I managed to pull the hard disk from it and recover the Quickbooks database for the HOA dues, and I also happen to have a Windows Server that runs that version of Quickbooks so I attempted to load the database. Unfortunately I was not told the password to unlock the database. I contacted every treasurer back to the one who originally set up Quickbooks and nobody knows what the password is. I then attempted to gain control of the email account used to sign up for Quickbooks so that I could have Intuit email me the password but nobody has control of that email account anymore and indeed nobody knows who owns it now (I have contacted the known previous owner but they stated they do not control that email account and never did). The last step was to look for software to unlock the database but the best I could find relies on a brute force method of decryption that could take weeks or even months of running continuously before it would find the password used, and the software is not cheap nor is it guaranteed to work.

It was decided in the board meeting that we would have to write off past dues as lost and are starting over. We know not everyone got invoiced for 2020 and so that is where we started. Obviously if you weren't a resident in 2020 you wouldn't owe dues for that year (thank you to those who have moved here recently and contacted me about it!).

To prevent this from happening in the future we are taking multiple steps that include using Quickbooks Online (to eliminate the need for physical hardware to be maintained) and using a HOA owned email account that at least 2 people will have access to at any time (to ensure that at least one person can get back in in case someone quits and doesn’t want to play nice with the information). We hope these steps will prevent this from happening again.

A gentle reminder...

The Southwood Neighborhood Association board is made up of unpaid volunteers who donate their time and energy into trying to improve the neighborhood within what power we have to do so. While I was able to recover the QuickBooks database from the hard drive, I could not decrpyt it as nobody I have contacted (and I went back several treasurers) could remember the password. The recovery email for the Quickbooks account is long since deactivated and I have no way of getting it back. So the board decided we would start fresh with 2020. Please be patient with us as we are setting things up from scratch in such a way that this will not happen again (we are using an online service with an HOA owned email account that at least 2 people will always have access to).

I know some of you have paid your 2020 dues, and there is a spot on the invoice sheet for you to indicate that and write an explanation for us. Fill that out and return it with your payment to the clubhouse drop box at your convenience. We are investigating taking electronic payments through Venmo and Paypal but it will require a board meeting to approve (It's November 11th at 7pm, please come!). Our hope is to have dues invoices out faster and with enhanced options for payments in the first quarter of 2022!

Finally, if you are a renter and somehow found this page, please pass the letter and invoice you got on to the property owner, thanks!

The newsletter is on the newsletter page here: https://southwoodlincoln.com/newsletters/

Speeding in Southwood

I have been contacted more and more the past few months about speeding along both Canterbury / South Canterbury as well as Tipperary Tail. The board is looking into measures we can take to help curb this but this afternoon a 9 year old boy was hit on Tipperary near the clubhouse. It sounds like he is going to be ok but this incident is going to ratchet up the board's response. In the short term we are going to contact the Lincoln Police Department to request increased patrols in the neighborhood and begin the next steps to find out if speed bumps can be installed. Speed bumps are going to be a hassle as they have to be removed and reinstalled yearly for snow plows but if we can't get folks to slow down I don't see what else we can do. Any other suggestions are welcome!

Clubhouse Decorations

Melissa McCaw with Rustic Event Planning has shared some photos she's taking of events she's held at the clubhouse. This page and linked document attempt to clarify those questions. In addition, the treasurer is working on a document that will break down what the costs are for the association so you can have a better idea of how your dues are used.

Why does Southwood have a Neighborhood Association?

One of the features of Southwood living is the enjoyment of the neighborhood common properties. These include the common green where children can play, the ornamental brick wall and entrances which define the area, and the Clubhouse property including tennis court and play equipment at 5000 Tipperary Trail. The Association provides the vehicle for common ownership and management of these properties.

What additional benefits does the Association provide?

In other cities and over considerable periods of time, Neighborhood Associations have proved quite valuable as a protection of the homeowner's investment. Working together, the Association serves as a vehicle to solve common neighborhood problems and helps keep the neighborhood from deteriorating in years to come. Children have a safe place to play. The availability of these designated play areas becomes more important as traffic around us increases.

What are the obligations of membership?

Every Southwood lot owner is automatically a member of Southwood Neighborhood Association. The Association is a democratic organization with one vote allowed per lot to help the Association make Southwood a better place to live. It is hoped that members will consider participation in the Association affars as an obligation of membership. The Association maintains and controls the common properties. It levies an annual assessment on each lot to care for and manage these properties, as well as help operate the Association.

What are the annual dues for?

The dues or annual assessment are to maintain the common properties: the greens, the Clubhouse, and the ornamental wall and entrances...all common properties owned by the Association. Dues also help the Association sponsor activities, publish the newsletter, and purchase equipment when it is needed.

Who determines the Association policies?

You do!...through your voting privilege. The Association articles provied for a nine member Board of Directors. These members are elected annually, the board elects the Association officers from its membership. These elections occur in November as provided in the by-laws. The Board of Directors determines Association policy, how funds are spent, and sets rates for rental of the Clubhouse and annual assessments. The Board governs the activities of the Association, holding regular meetings the second Tuesday of each quarter, open to every member in good standing. The books and records are also open to every member's examination during reasonable hours. All members are notified of Association and Board meeting activities through the Southwood Messenger newsletter.

Why is every lot owner a member?

Southwood Neighborhood Association is an example of American democracy in action at the grass roots level. Every homeowner must be a member to give fair representation to all, equal rights to all, and help you make Southwood the kind of place you want to live in.

Why is Southwood surrounded by a brick wall on the East and the South?

Southwood's modern land plan eliminates lots which face on the arterial streets surrounding it. This provides additional safety for everyone in their yards as well for families backing from their driveway in their automobile. The serpentine wall also shuts out much traffic noise and gives a pleasing sense of privacy and "place" to the area. Having the wall constructed by the developer means that a possible clutter of various individual fences can be avoided. The use of masonry materials provide a long life with minimum maintenance for continued good appearance.

What does the Clubhouse do for you?

The clubhouse was a gift to the Association from the developers of Southwood. You and your family have use of the Clubhouse on an individual basis for special parties, receptions, or family reunions at a very nominal cost, as long as your dues are currently paid. The Clubhouse includes a fireplace meeting room, a kitchen, and a carpeted card room - all now accessible by the handicapped. The tennis court also doubles as an all-purpose basketball court and other games.

Are dues considered a contribution for income tax purposes?

No

Who determines the Clubhouse activities?

The Clubhouse is open to each and every lot owner on an individual basis. While we have worked very hard to keep this facility nice yet making it affordable to Southwood residents, we also rent it to other people at a higher rental rate. This helps defray the costs we all share in. You can help determine the Clubhouse activity by working actively in the Association.

Questions?

Please feel free to contact any of the board members on our Contact page or you can also send us a message on Facebook. I'm currently working on bringing our website up to date with the latest web technologies, and as so things will be looking a bit rough for a while. Please bear with me, thank you!

So far I have most things available except for the calendar and the old newsletters. I will be working with the Reservation Secretary to get the calender stuff moved over and the Secretary to get copies of the old newsletters.

There is also some work that needs to be done still to make the website more mobile friendly, mostly around the Clubhouse page and the menu navigation but I think it still looks pretty good!
