We will add an option of a $20 payment towards the playground donations. Financial report will be available before January 31<sup>st </sup>2026.</p><p>Liens- checking in with Lawyer to see if he can assist with the process of putting liens on non-payment houses.</p><p>Southwood Wall- After the survey in 2025 was complete it shows that the wall is on the homeowners property line. The board voted to keep paying for insurance for the wall for major incidents (i.e accidents) but cosmetic maintenance will be on the homeowners. This decision was made because most of the damage is due to homeowners not removing trees that are against the wall. The other option would be to raise dues for everyone to maintain wall or to raise dues for just those along the wall to a higher price.</p><p>Events:</p><p>Cookies with Santa- Curtis will be Santa and Luke will be the elf</p><p>Easter Egg Hunt/Movie night- April 3<sup>rd</sup></p><p>Garage Sales- May 29<sup>th</sup>- May 30<sup>th</sup> Karissa will contact goodwill to see if we can get them to come.</p><p>Clubhouse:</p><p>Board agreed to get rid of several couches that are falling apart in the clubhouse. Flooring update was discussed with Curtis getting quotes for us. Luke will be redoing the bathroom with new tile.</p><p>2026 Goals:</p><p>1. Playground</p><p>2. New bathroom in clubhouse</p><p>3. Total cost of project $15,808.18. There are continuing plans to finish the project with power washing and painting the Tennis/Basketball court and installing solar lights.</p><p><br></p><p><strong>Item # 2 Financial Report and Dues update</strong></p><p><em>Details:</em> Southwood financial report was reviewed By Karissa Brown (Treasurer).<strong> </strong>2024 dues have increased from $50-$75/year. This increased income will continue to support increasing inflation costs along with neighborhood improvements. Dues were sent out the first week of February. Total outstanding dues for 2024 is $50,245.00 (including past dues and late fees). The Financial report is posted on the Southwood website and facebook.</p><p><br></p><p><strong>Item # 3</strong> <strong>Newsletters</strong></p><p><em>Details</em>:. All meeting newsletters will continue to be available on the Southwood Neighborhood Association website.</p><p><br></p><p><strong>Item # 4</strong> <strong>Southwood Marketplace</strong></p><p><em>Details: </em>Southwood Marketplace is up and running on the Southwood website and several neighbors have taken advantage of the site.</p><p><br></p><p><strong>Item # 5 Southwood Serpentine Wall</strong></p><p><em>Details: </em>Discussion on the condition of the serpentine brick wall surrounding the Southwood neighborhood. There are areas of crumbing wall within the neighborhood. In some cases trees maybe contributing to the crumbling. To further define property lines and identify responsible, all members agreed to get 1 property surveyed to identify property lines.-<em>this process is ongoing</em></p><p><br></p><p><strong>Item # 6 Clubhouse keyless door lock</strong></p><p><em>Details:</em> Clubhouse keyless door lock has been installed for the security and convenience of obtaining entry and locking after each rental.</p><p><br></p><p><strong>Item # 7 Clubhouse rental agreements</strong></p><p><em>Details: </em>Katie Jones gave an update on Southwood Clubhouse rentals with no issues with the new online services.</p><p><br></p><p><strong>Item # 8 Tree Removal. </strong> Several trees in the Southwood commons areas have been removed or trimmed by No Limits Tree Service.</p><p><br></p><p><strong>Item # 9 Lawn Care and Snow Removal</strong></p><p><em>Details: </em>Keeping Southwood common areas looking beautiful with mowing, fertilizing and snow removal comes with a cost increase from $8,240.00(2022) to $20,733.75 (2023). We will continue with the same lawn &amp; snow services since they continue to be the lowest bid. All members were in agreement.</p><p><br></p><p><strong>Item #10</strong> <strong>Southwood cell phone</strong>. Discussion regarding purchasing a Southwood cell phone for clubhouse rentals &amp; Venmo account. Our Venmo account needs to be associated with a phone #, so instead of the account being linked to an individual members phone number, it will be linked to the association #. All members were in agreement to purchasing a cell phone-<em>ongoing process</em></p><p><br></p><p><strong>Item # 11 Clubhouse basement. </strong>Discussion on having the clubhouse basement evaluated for potential rental and additional Southwood income. Also getting an estimate for installing an outside water source for future landscaping. &#xA0;All members were in agreement with the above-<em>ongoing process.</em></p><p><br></p><p><strong>Item # 12 Clubhouse and Southwood entry landscaping</strong>. Discussion on using a local garden group for clubhouse landscaping in exchange for providing the clubhouse for meetings at no cost. Limits on entry landscaping were cost (approx $2400/entry) along with no outside water source at the clubhouse or entries. We will continue to explore options for landscaping-<em>ongoing process</em></p><p><br></p><p><strong>Item # 13 Playground</strong> Discussion on applying for grants, fundraising and obtaining donations for renovating the existing playground with new equipment and playground surface. All members were in agreement with 2024 being a fund building year with proposed renovation late 2024-2025.</p><p><br></p><p><strong>Item # 14 Upcoming Events</strong></p><p><em>Details:</em> Upcoming Southwood events are posted on the Southwood website under &#x201C;&#x201D;Events&#x201D;. There are areas of crumbing wall within the neighborhood. In some cases trees maybe contributing to the crumbling. To further define property lines and identify responsible, all members agreed to get 1 property surveyed to identify property lines.-<em>this process is ongoing</em></p><p><strong>Item # 6 Clubhouse keyless door lock</strong></p><p><em>Details: </em>Clubhouse keyless door lock has been purchased and will be installed next week for the security and convenience of obtaining entry and locking after each rental.</p><p><strong>Item # 7 Clubhouse rental agreements</strong></p><p><em>Details: </em>Clubhouse rental agreements will be going paperless with emailed contracts and electronic payment options. Southwood&#x2019;s lawyer wrote of a new contract for us allowing us to be able to charge a credit if there is damage to the property.</p><p><strong>Item # 8 Dues</strong></p><p><em>Details: </em>Karissa discussed adding credit card payment options for dues. Discussion regarding purchasing a Southwood cell phone for clubhouse rentals &amp; Venmo account. Our Venmo account needs to be associated with a phone #, so instead of the account being linked to an individual members phone number, it will be linked to the association #. All members were in agreement to purchasing a cell phone.</p><p><strong>Item # 3 Clubhouse basement. </strong>Discussion on having the clubhouse basement evaluated for potential rental and additional Southwood income. Also getting an estimate for installing an outside water source for future landscaping. All members were in agreement with the above.</p><p><strong>Item # 4 Snow removal</strong>. Discussion on obtaining estimates for snow removal of the Southwood clubhouse parking lot and common area sidewalks. All members were in agreement with the above.</p><p><strong>Item # 5 Dues </strong>Discussion on raising 2024 dues from $50-$75/year. The increased income will continue to support increasing inflation costs along with neighborhood improvements. The 2023 Financial update is available on the website. All members were in agreement with the above.</p><p><strong>Item # 6 Clubhouse </strong>Katie will be taking over the clubhouse reservations and upkeep. She will be receiving $300 monthly for her services. &#xA0;<br></p><p><strong>Item # 7 Tree Removal. </strong>There are several trees in the Southwood commons area that are in need of removal or trimming. No Limits Tree Service has provided an estimate for the above service and all members were in agreement for removal and trimming. Terri James has agreed to research options for replacing removed trees in the Spring. No Limits Day Rate is $2,400 + removing the ash tree and stump is $600 giving us a total of $3,000.<br></p><p><strong>Item # 8 Clubhouse and Southwood entry landscaping</strong>. Discussion on using a local garden group for clubhouse landscaping in exchange for providing the clubhouse for meetings at no cost. Limits on entry landscaping were cost (approx $2400/entry) along with no outside water source at the clubhouse or entries. We will continue to explore options for landscaping. We did discuss holiday decorations for the entries and all members were in agreement for a $200 budget for Christmas decorations.</p><p><strong>Item # 9 Ruth Hill Thanksgiving backpack program</strong>. Discussion on donating $300 for the Thanksgiving backpack program at Ruth Hill. This will provide thanksgiving meal items for those in need. All members were in agreement for this much worthy cause.</p><p><strong>Item # 10 Playground </strong>Discussion on applying for grants, fundraising and obtaining donations for renovating the existing playground with new equipment and playground surface. All were in favor of continuing attorney consultation on an as needed basis.</p><p><br></p><p><strong>NEW BUSINESS</strong></p><p><strong>Items #1</strong> Garbage Company</p><p><em>Details</em>: Member discussion on changing our current garbage service (Roggenkamp) to D&amp;D with company agreeing to get garbage cans from the north side of the clubhouse and returning them to the same location (current status requires that an association member bring the cans to the end of the street and returns them to the north side of the clubhouse). All members approved of change in garbage service effective 10/1/23.</p><p><br></p><p><strong>Item #2 </strong>Newsletters</p><p><em>Details:</em> Member discussion on sending out paper newsletters on a biannual basis. This would not be implemented until the next dues billing cycle March 2024. There are a couple of things to take into consideration. <br>1. Insurance checks for the wall have made some of the credits look higher than others but collections from dues are a huge part<br>2. Due to the number of complaints we received last summer, we had to switch lawn services and now pay more than double what we have been the last two years. We got several quotes and went with the option that was cheapest for both mowing and fertilizer. <br>3. You may look at the dues chart and think that 39% is still a lot of outstanding dues and we agree! In the last 3 months the $200 section has been cut in half. We are currently getting ready to send out second notices to those who still owe. The Title Company will always email us at the sale of someone&#x2019;s home to see if they are caught up on dues. If they are not, they will collect them on our behalf at no cost to us. <br>4. Why did we repaint the clubhouse? The clubhouse is one of the biggest incomes for Southwood and repainting it and getting it fixed up will allow us to discuss raising the rent price to those OUTSIDE of the HOA. Don&apos;t worry we have no plans on raising the rent to members in the HOA again. <br>5. Why is our insurance so much? Why has our insurance gone up? Check out that beautiful brick wall that surrounds Southwood :)<br>6. The amount for the basketball court is currently the deposit to start the process. The total will change once the project is finished. There is no secret but I hope to clarify what happened so there is no confusion about what is going on.</p><p>One of the previous boards decided to use HOA money to buy a laptop and Quickbooks Desktop maybe 10 years ago (I&#x2019;d have to find the meeting minutes to be sure). That seemed to work well for them at the time anyway, but it has been mentioned before that there were no practices put in place to ensure the information wouldn&#x2019;t be lost. The board has changed a few times since that happened, including in February 2021 when myself and most of the rest of the board positions were elected.</p><p>When we got to work in February we quickly discovered that the laptop in question would no longer power on and in fact was broken. I managed to pull the hard disk from it and recover the Quickbooks database for the HOA dues, and I also happen to have a Windows Server that runs that version of Quickbooks so I attempted to load the database. Unfortunately I was not told the password to unlock the database. I contacted every treasurer back to the one who originally set up Quickbooks and nobody knows what the password is. I then attempted to gain control of the email account used to sign up for Quickbooks so that I could have Intuit email me the password but nobody has control of that email account anymore and indeed nobody knows who owns it now (I have contacted the known previous owner but they stated they do not control that email account and never did). The last step was to look for software to unlock the database but the best I could find relies on a brute force method of decryption that could take weeks or even months of running continuously before it would find the password used, and the software is not cheap nor is it guaranteed to work.</p><p>It was decided in the board meeting that we would have to write off past dues as lost and are starting over. We know not everyone got invoiced for 2020 and so that is where we started. Obviously if you weren&apos;t a resident in 2020 you wouldn&apos;t owe dues for that year (thank you to those who have moved here recently and contacted me about it!).</p><p>To prevent this from happening in the future we are taking multiple steps that include using Quickbooks Online (to eliminate the need for physical hardware to be maintained) and using a HOA owned email account that at least 2 people will have access to at any time (to ensure that at least one person can get back in in case someone quits and doesn&#x2019;t want to play nice with the information).
